Monthly Meeting Minutes
May 5, 2003

Public
Input: Dave was very helpful in recounting the dealings of
FYSA with the Town which initiated many years back, and preceded
most if not all board members. It is his contention that FYSA should
not be charged for use of the town fields pursuant to the agreement
that this would be provided at no cost in exchange for our contribution
to the fields through the purchase of goals, field lining, etc. Colette
T. suggested a face to face meeting (Bob K, Dave H, Chris M, Phil
B) with Matt Gilbert to address this issue. Notes will be taken at
the meeting so that there is no misunderstanding as to the responsibilities
of each party.
Meeting
Minute Review.
- Motion by Ken Alvarez and second by Marsha
Lycan to accept the April 2003 minutes as distributed to the
Board for review. Motion passed
with no modifications to minutes.
Committee
Assignments:

Assignment sheet was circulated for board members to sign up
- Colette
addressed the situation relating to the Referee Assignor position
we need to fill. She clarified this is a new state
mandated requirement that calls for all referees to be assigned
by a ‘referee
assignor’. A Referee Assignor is a person that completes
the Referee Assignor Certification course, a 2 or 3 hour module
which
will educate individuals on assigning only FIFA licensed referees.
The board agreed that this will be a rather large task for
one person and Colette Twigg suggested we appoint a single
referee
assignor
for each boys and girls age group separately. Once coaches
are assigned, we can coordinate who will be the referee assignors,
and these individuals
will have to complete the course likely to be offered in late
August.
Communications
- Charlie
Clement has volunteered to head up the ‘communications
committee’ which will
aim to improve all aspects of the club’s internal
and external communication means and content.
- Projects
will include assembling a ‘coaches manual’ which
will contain all aspects of
running a team from the tryouts and selection
process to lining fields, assigning referees,
and scheduling games,
etc. It will also include
the necessary forms such as code of conduct and
state disclosure forms.
- Similar
packets/guidelines will be organized and compiled for distribution
to Board members
(Board member packet) and Parents
(Parent handbook)
- Charlie
also has volunteered to create an impressive website for
the club which will ultimately facilitate many
aspects of the entire organization. The site will ultimately contain
copies of all policies,
forms and other documents for both
coaches and the public to access. An ‘online’ registration
form and process could be incorporated into the website
to increase efficiency of this process
and reduce
time. It will also be a place to post
schedules, field sites and status and directions which will be beneficial
to all.
Tryouts:
- Tryouts
are slated for June 7 as follows: 2PM to 4PM: U12/U13/U14 and 4PM
to 6PM: U10/U11 There
will be a makeup date between June 9th-13th.
Coaching
Committee:

L had submitted a coaching evaluation summary form suggesting
this be used as a way to communicate
evaluation results to coaches
since the present system of face to face meetings has not been
carried out for at least 2 years. Chris M objected to this process
citing
an evaluation policy requiring face to face meetings with all
coaches, and is to produce a copy of this policy since most other
board members
are unfamiliar with it. The present system of face to face
meetings will continue for the meantime.
- Coaching
Committee is to meet on May 12 for the initial coaching
review. Chris M and/or Ben were to get emails to Bob with
names of individuals who had volunteered to coach for the upcoming
season.
We will also be discussing organization of tryouts at this
meeting.
Next
Meeting:
- Wednesday,
June 18, 7:00 p.m. (moving this meeting from our normal ‘first
Monday’ time so we can meet subsequent to tryouts)
